- Each party keeps its own, under its own retention schedule.
- Afterwards
- If the award is challenged, what was disclosed and to whom is a query rather than a reconstruction from mailboxes.

- The mediator needs to see what was exchanged without seeing either side's private position, and there is no clean way to give them that.
- Changes
- The mediator is added to the shared table by one side in an observer role: present, reading, unable to change status or membership. Neither caucus is visible to them, and the audit record shows who admitted them.
- Storage
- Stays inside the authority tenant and the union tenant, which their retention rules require.
- Afterwards
- The exchange is already in a form an arbitrator can read: dated, attributed, hash verified, with a session record per sitting.
Two companies, a master services agreement

- Redlines arrive as attachments. Somebody works from a superseded copy, and the commercial team cannot see which clauses are settled without rereading the whole document.

- An order of business tracks each open clause with a status both sides see, so settled clauses stop being reopened.
- Storage
- Each company keeps its own copies. Taking a version into your caucus records the release against the version it came from, rather than leaving an untracked copy.
- Afterwards
- The path from first draft to executed agreement, with every version, recipient and change of position dated.

- Visibility is solved by forwarding, so confidential material leaves the room and nobody can say where copies went.
- Changes
- Observers read and are recorded present but cannot post, change an item or alter membership. Each side manages its own and neither sees the other's.

- Board and union storage respectively, with nothing held by us.
- Afterwards
- The record names who was sent which version and when, so a page found elsewhere can be narrowed to the people who held that version.
True of all five
Neither party places its documents with Termsroom. Each connects storage its own organisation owns, and Termsroom holds pointers, hashes and the record of who did what and when. The checks behind that are on the trust page, and a customer can run them without asking us.
