Termsroom, the Canadian-built software where the employer and the union work from one shared bargaining and grievance record, is now available in French. Termsroom, le logiciel conçu au Canada où l’employeur et le syndicat travaillent à partir d’un même dossier de négociation et de griefs, est maintenant offert en français.

What Termsroom costs

The other side joins free

Whichever party buys, the other side gets the same product at no cost. So Team at $3,995 covers two organisations, not one.

No per-seat charge

Add counsel, an expert for one clause and an observer from your board. Nobody is left out of the record to save money.

Full refund within thirty days

If you have not used Termsroom for a live negotiation yet. The refund policy has the detail.

Launch prices

These are launch prices, available for purchases made until 31 October 2027. If you buy at a launch price, you keep it when you renew, and any increase is capped at 5% a year.

Optional services

Nothing about the service degrades if you never buy these. They are conveniences, not gates.

We set up a sitting

$450 a sitting

Agenda built from your material, room and attendees set up, session record issued to both parties.

Connector feasibility

$500

What another system’s interface allows, and a fixed price. Credited in full against the build.

Connector build

From $8,500

One time, for Asana, Monday.com or a line-of-business system with an accessible interface.

Connector maintenance

$1,500 a year

Per connector, so it keeps working when the other vendor changes its interface.

Questions about buying

How do we pay, and who sends the invoice?

Every tier can be bought by card, from inside the product, through Paddle. Team, Programme and Enterprise can also be bought on a purchase order, with an invoice due in thirty days; for Single negotiation we send an invoice on request. On a purchase order, Paddle issues the invoice with your PO number on it, and you settle it by bank transfer or by card.

Paddle acts as merchant of record: it takes the payment, calculates, collects and remits GST, HST, PST and QST in your province, and issues the tax invoice. Your invoice and card statement show Paddle rather than MarkR Management Inc. Every sale runs through Paddle, including a purchase an authorised partner makes for a client. There is no route by which MarkR Management Inc. invoices you directly, and the reason is on the purchasing page.

Billing and invoice queries go to Paddle, and we will help you reach them. Everything about the product itself comes to us at support@termsroom.com.

What does a year include?

A licence to use the service for twelve months from the start date, for the number of concurrent negotiations in your tier. A negotiation that closes frees its slot. Terms and the acceptable use position are on the legal pages.

Support is by email during British Columbia business hours, with a response target of one business day. There is no separate implementation fee. Connecting storage and Teams is something an administrator does in under an hour, and we will do it with you on a call at no charge.

What is not charged for?

The other side. An invited counterparty takes part at no cost, with its own sealed caucus, the shared table, the record and its own copy of the evidence at the end. A negotiation cannot be held hostage to whether the counterparty has a budget line.

People. There is no per-seat charge. A product whose value is a complete record should not give you a reason to leave somebody out of it.

Storage. Your documents sit in storage you already own and pay for. Termsroom holds pointers and hashes, so there is no volume to meter.

What does Termsroom change for a bargaining team?
  • What did we table on 14 March, and did they get it?
Without it: Search a mailbox, ask two colleagues, and settle for the version somebody remembers sending.
In Termsroom: The version, its fingerprint, the date, and a matrix of who received it, including the people who received nothing.
  • Which of the eighty changes in their counter actually matter?
Without it: Read a redline end to end, and hope nobody skimmed the one that moved a cap.
In Termsroom: Each change explained in a sentence and classified as substantive, cosmetic or structural. Often only a handful of the eighty are substantive.
  • Is item 12 agreed, or does one side only think it is?
Without it: Two sets of minutes, two readings of them, and an argument three weeks later.
In Termsroom: Agreed only when both sides have marked it, with the date each side did and the name of whoever is still outstanding.
  • What is holding this up right now?
Without it: A call to find out who is waiting on whom.
In Termsroom: A readiness list both parties read, and a portfolio across every negotiation ordered by what needs somebody.
  • Can we prove, in two years, what was exchanged and when?
Without it: An email archive, an assertion, and whatever the other side kept.
In Termsroom: An append-only log, hash chained, exported to your own machine and verified there with no connection to us.
  • Where are our documents while all this is happening?
Without it: Uploaded to a vendor, under their retention policy and their jurisdiction.
In Termsroom: In your own SharePoint, OneDrive for Business or S3 bucket, under your keys. Termsroom holds pointers and hashes and keeps no copy.

What you are holding at the end: A session record for every sitting, with attendance and what was tabled, issued to both parties. A closing record when the negotiation ends, issued to each side separately. An evidence package: the versions, the fingerprints, the distribution matrix and the chain. A verifier you run yourself, offline, against your own exported chain. An accessibility conformance statement and a completed security questionnaire for your reviewer.

Termsroom does not take anybody off your bargaining team. It gives back the time they currently spend reconstructing what happened.

Refunds and renewal

Thirty-day evaluation refund. A full refund of the first term if you ask within thirty days of your start date and your account has not been used for a live negotiation. Used means one of four things has happened: somebody outside your organisation was admitted to a room, a sitting was opened or a record created, an order of business was issued to a counterparty, or a request was sent to or received from one. The test is applied to the account as a whole.

Where we fail a commitment. If Termsroom materially fails a commitment stated in your agreement and does not fix it within thirty days of your written notice, you can terminate and we refund the unused part of the term.

Renewal. We give you forty-five days’ notice before every renewal, stating the date, the amount and any price change. If we fail to send it, you can cancel within thirty days of the charge and get that charge back in full. On renewal we may increase the price by no more than 5% in a year, with at least sixty days’ notice. Prices for purchases after 31 October 2027 will be published here before that date.

How a refund reaches you. We decide the refund; Paddle issues it to your original payment method, in the currency you paid, and credits the tax it collected. A negotiation that ends early, a counterparty who declines to take part, or an internal approval you do not obtain are not grounds for a refund. The refund and cancellation policy has the rest.

About the optional services

Every tier includes setting up a sitting yourself, at no cost: naming it, setting the order of business and recording attendance takes a few minutes. Our setup is bought by the sitting rather than by retainer, so it can be used for the first two while a team learns the product and then stopped.

SharePoint and Microsoft Teams are included in every tier. Requests for other connections go through the connections page inside the product. We do not promise a connection can be built before we have looked at it, and the feasibility assessment exists so that a no costs you five hundred dollars rather than a quarter. If it cannot be done properly, you get that in writing and pay nothing further. The build range depends on how much the other system allows and whether it is one way or both ways.

Is there a SOC 2 report?

Not today. The SOC 2 Type I audit engagement is scheduled to begin on Thursday 11 February 2027. An AI-assisted internal security review of the source code and a locally built copy of the database was completed on 30 September 2026, and the database fixes it led to are in place. We ran it ourselves using Anthropic’s Claude, so it is not independent, it did not test the live service, and it is not part of a SOC 2 report. An independent penetration test is scheduled for Thursday 5 November 2026. The stage and the scope are on the trust page.

Where a buyer needs a report by a date, we will write that date into the contract with a remedy attached. Section 10 of the terms of service states the dates we are willing to commit to.

What happens if something happens to Termsroom?

Your documents are in your own storage and were never anywhere else, and the audit record can be exported and verified offline without our cooperation. For 90 days after termination we will, on request, give you an export of the record we hold. The limits of what Termsroom warrants about records and third party storage are in the disclaimers.

How do we start a purchase?

Write to sales@termsroom.com with the number of negotiations you expect to run in a year and whether a security review is part of your process. If a SOC 2 report is a condition, say so in the first message rather than the third.

Termsroom is a product of MarkR Management Inc. Subscriptions are sold through Paddle, which acts as merchant of record and handles payment, invoicing and sales tax.
